Usage and monthly statements

How an MSP account is measured and billed, the per-client figures to re-bill against, and reviewing each month's draft statement before it's invoiced.

An MSP account is billed monthly on what it actually used, broken down by client. Two pages show it: Account → Usage for the current period as it builds up, and Clients → Statements for each closed month’s figures, which you see before any invoice is issued.

Both need the Admin or Owner role and access to every client. The Usage and Statements links don’t appear in the menu for anyone else, and a member whose access covers particular clients who opens either page directly is told that billing is an account-level record. A statement is your bill — every client’s figures, the prices and the total — so your customers’ own staff never see one, whatever role you give them. What’s counted

The definitions are printed under What we count on the Usage page, and they’re the same ones a statement is built from:

Measure Definition
Active domain Verified, and at least one message counted for it in the period, by when the mail was sent. A domain added but never pointed at us isn’t counted. A domain removed part-way through is counted for that period, because its reports were processed.
Compliant message A message counted in a report where DMARC passed. Mail that failed DMARC, including spoofed mail sent by someone else, never adds to your bill.

Usage: the current period

Account → Usage shows the period so far and how far through it you are. On an MSP account, By client lists each client’s Active domains, Compliant messages and Total processed, which is what you re-bill your customers against. Clients with no activity show zeros rather than being left out.

Statements: each closed month

A draft statement for the previous month is generated on the 3rd. Reports about a month’s last few days keep arriving after it ends, so a statement built on the 1st would undercount. The first statement comes on the 3rd of the month after your first full billing period.

When a draft is ready, a Statement ready email goes to the account’s owners and admins whose access covers every client — the people who can open Statements — with the period, the number of active domains, the total and a link. Analysts, and anyone limited to particular clients, don’t receive it. It says plainly that nothing has been charged yet.

Clients → Statements lists each period on the left with its total and status. The selected statement shows:

  • Charge: each line with its quantity, unit price and amount, the Subtotal and the Total, excluding tax. Tax is added as its own line when the invoice is issued. If your contract has a minimum number of domains and you used fewer, the statement says so.
  • By client: each client’s Active domains and Compliant messages, and the date they were Measured to. These add up to the charge.

Every figure comes from daily measurements of each client, frozen as they were taken, so any count can be traced back to what produced it.

Status

Status What it means
draft Under review. Nothing has been invoiced, and the figures can still change if late reports arrive.
approved Reviewed and approved. The invoice will be issued shortly.
invoiced Invoice issued. Payment is due 30 days from the invoice date. View and pay invoice opens it.
paid Paid.

Every draft is reviewed and approved by a person at DMARCLoop before an invoice is issued. Nothing goes from measurement to invoice automatically.

If a figure looks wrong

Contact us while the statement is still a draft. The By client table, and Usage for the current period, usually show which client a difference comes from.

A draft is corrected by generating it again, which replaces it, and you’re emailed again. Once a statement has been invoiced, a correction is a credit note instead, which is slower for everyone.

Paying by bank transfer

Some accounts are invoiced through our accounting system rather than by card. On those, an invoiced statement says to pay by bank transfer using the details on the invoice and shows the reference to quote. Payments are matched and shown as paid within about an hour of being reconciled.
